Key Data vs PriceLabs: different jobs, and why many managers use both

Every claim about a third-party product comes from that company’s website, or the third-party source named, on that date. Sources are listed at the end of the page.

Key Data and PriceLabs are often mentioned together. They aren’t really competitors. As of October 2026, Key Data’s own site states that it “is not a pricing tool” and describes itself as a complement to rate tools such as PriceLabs, Beyond and Wheelhouse [1]. PriceLabs sets and pushes your nightly rates. Key Data shows how your booked performance compares with other professionally managed rentals.

We’re Airyield, a managed revenue management service for operators with 15 or more listings. We run PriceLabs by default, and we also work in Beyond, Wheelhouse, AirDNA (Adapt), DPGO, RoomPriceGenie, Rented (ART) and Pace (FLYR Hospitality). Here’s how Key Data and PriceLabs fit together, from the point of view of the person who has to use them every morning.

What Key Data does

Key Data (now branded KeyData, at keydata.co) is a data and benchmarking platform. As of October 2026, its site states:

  • its data is “verified, direct-source reservation data”, “sourced directly from operators, never scraped or modeled” [2]
  • it connects to “80+ PMS integrations”, including Guesty, Hostaway, Lodgify, OwnerRez, Streamline and Escapia [2]
  • its ProData product for property managers includes pacing reports against the prior year, booking windows and curves, comp sets, market benchmarking, unit and owner reporting, and revenue projections for new properties [1]
  • it offers “benchmarking across 6,000+ regions” [1]
  • it covers hotels as well as rentals, through hotel performance benchmarks and an enterprise data offering [2]

Key Data doesn’t publish prices. Its site offers a demo and a free market report [2]. A September 2026 Key Data article says platforms like it “do not set prices or recommend rates” [3].

What PriceLabs does

PriceLabs is a dynamic pricing tool. As of October 2026, its site describes nightly automated pricing, rules for minimum and maximum prices, day of week, lead time and occupancy, per-property minimum-stay recommendations, portfolio dashboards, comp sets with 40+ filters, and scheduled owner reports [4]. It connects to 150+ PMS platforms (also stated as 160+) [4]. It charges a flat monthly fee for each listing that receives price pushes, with no long-term contract [4][5]. Sources disagree on the current rate: $14.49 to $19.99 per listing a month depending on the source [6][7]; check PriceLabs’ plans page [5].

The two companies also work together on data. In 2022, PriceLabs announced it would add Key Data’s market data from more than 2,600 property managers to “refine further the quality of the dynamic pricing, minimum stay recommendations, booking pace predictions” [8].

Who each suits

Key Data is the better fit if you want to:

  • benchmark your booked occupancy, ADR and RevPAR against other professional managers, not just listed prices
  • show owners and prospective owners how your homes compare in their market [1]
  • forecast revenue for new properties during owner acquisition [1]
  • work in a market where professionally managed vacation rentals report through PMS platforms Key Data connects to. Its data has historically been strongest in US vacation-rental markets [8]. Check coverage for your market before you buy.

PriceLabs is the better fit if you need to:

  • set and push nightly rates and minimum stays automatically across a portfolio [4]
  • apply rules for gap nights, lead time and occupancy [4]
  • price in markets where direct-source benchmarks are thin

Many managers use both: PriceLabs to set rates, and Key Data to check whether those rates are winning against comparable professionally managed homes. Key Data says as much on its own site [1][3].

Adding Key Data to a PriceLabs setup

  1. Confirm your PMS connects to Key Data and that your market has enough reporting managers to give you a meaningful comp set [1][2].
  2. Agree which numbers you’ll treat as the source of truth for owner reporting, so owners don’t see two different occupancy figures.
  3. Use Key Data’s pacing against PriceLabs’ recommendations once a week, not once a quarter.

The tool matters less than who runs it

Data shows you where you’re behind. A pricing tool lets you act on it. Neither one makes the decision. Someone still has to look at a weekend pacing behind the market and decide whether to drop rate, shorten minimum stays or hold.

Airyield does that work in PriceLabs:

  • every morning our software checks every listing against its market: RevPAR index, ADR index, market penetration (MPI) and booking pace
  • a revenue manager approves every change before it goes live
  • you get a weekly call
  • a live dashboard shows every price change and the reason for it
  • you keep your own accounts and data
  • published fee: 1.5% of booking revenue (nightly rates only), with no monthly minimum and no lock-in contract: cancel any time with 30 days’ notice

Airyield was built by an Australian operator managing around 200 listings, including motels.

Frequently asked questions

Is Key Data a pricing tool?

No. As of October 2026, Key Data’s site states it “is not a pricing tool” and works alongside tools such as PriceLabs [1].

How much does Key Data cost?

Key Data doesn’t publish prices. Its site asks you to book a demo [2]. One directory lists a starting price, but it gives no date or source, so ask Key Data directly.

Does PriceLabs use Key Data?

PriceLabs announced a partnership in 2022 to add Key Data’s direct-source market data to its pricing, minimum-stay and pacing models [8]. Check with PriceLabs for how that data is used today.

Does Key Data cover Australia or the UK?

Key Data cites benchmarking across 6,000+ regions but doesn’t list countries on the pages we checked [1]. Ask for a coverage check for your market.

Is Key Data worth it for 15+ listings?

It’s most useful when you need to prove performance to owners or win new ones, and when your market has enough reporting managers. If you mainly need rates set, start with a pricing tool.
